Dear Sir:
On February 16, 2012, the Board of Commissioners authorized the Director of Procurement and Materials Management to award Contract 11-863-12, Pavement Improvement and Maintenance in the Calumet Service Area, Group A, to Pan-Oceanic Engineering Company, Inc., in an amount not to exceed $225,000.00. The contract expires on March 31, 2015.
As of February 6, 2015, the attached list of change orders has been approved. The effect of these change orders resulted in a decrease in an amount of $2,605.77 from the original amount awarded of $225,000.00. The current contract value is $222,394.23. The prior approved change orders reflect an approximate 1.2% decrease to the original contract value.
This Contract will be extended to Septemebr 30, 2015. The increase in contract value is to ensure funds are available to provide pavement repair services until all District areas can be combined under a new District-wide paving Contract, which will follow in 2016. The new Dsitrict-wide Contract is anticipated to be in place prior to the 2016 Construction season.
This change order is in compliance with the Illinois Criminal Code since the change is due to circumstances not reasonably foreseeable at the time the contract was signed, and is in the best interest of the District.
It is hereby recommended that the Board of Commissioners authorize the Director of Procurement and Materials Management to execute a change order to increase Contract 11-863-12, Group A, in an amount of $29,250.00 (13.2% of the current contract value), from an amount of $222,394.23, to an amount not to exceed $251,644.23.
Funds are available in Account 101-69000-612420.
