TRANSMITTAL LETTER FOR BOARD MEETING OF MAY 4, 2017

COMMITTEE ON PROCUREMENT

Mr. David St. Pierre, Executive Director

Title

Authority to increase Contract 14-613-12, Scavenger Services at Various Service Areas, to Independent Recycling Services, Inc., in an amount of $65,000.00 from an amount of $1,632,249.57 to an amount not to exceed $1,697,249.57, Accounts 101/501-69000/50000-612520, Purchase Order 5001471

Body

Dear Sir:

On June 19, 2014, the Board of Commissioners authorized the Director of Procurement and Materials Management to award Contract 14-613-12, Scavenger Services at Various Service Areas, to Independent Recycling Services, Inc., in an amount not to exceed $1,936,718.09. The contract will expire on May 31, 2017.

As of April 20, 2017, the attached list of change orders has been approved. The effect of these change orders resulted in a decrease in an amount of $304,468.52 from the original amount awarded of $1,936,718.09. The current contract value is $1,632,249.57. The prior approved change orders reflect a 15.7% decrease to the original contract value.

The increase is required to fund the contract to the end of May 2017, at which time the new contract will be in place.

This change order is in compliance with the Illinois Criminal Code since the change is due to circumstances not reasonably foreseeable at the time the contract was signed, and is in the best interest of the District.

It is hereby recommended that the Board of Commissioners authorize the Director of Procurement and Materials Management to execute a change order to increase Contract 14-613-12 in an amount of $65,000.00 (approximately 4.0% of the current contract value) from an amount of $1,632,249.57 to an amount not to exceed $1,697,249.57.

Funds are available in Accounts 101/501-69000/50000-612520.

Requested, John P. Murray, Director of Maintenance and Operations, BAP:SO’C:MAG:JR

Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management

Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement
