COMMITTEE ON PROCUREMENT

Mr. David St. Pierre, Executive Director

Title

Authority to advertise Contract 18-690-11, Furnishing and Delivering Refurbished Low Voltage AC and DC Motors to Various Locations, estimated cost $184,000.00, Accounts 101-67000/68000/69000-612650, Requisitions 1486557, 1486561, and 1486559

Body

Dear Sir:

Contract documents and specifications have been prepared for Contract 18-690-11, Furnishing and Delivering Refurbished Low Voltage AC and DC Motors to Various Locations, at the request of the Maintenance and Operations Department.

The purpose of this contract is to procure refurbished low voltage AC and DC motors as replacements for existing motors at the Stickney, O’Brien, Egan and Calumet Water Reclamation Plants. The existing motors that require restoration are either obsolete, not available in the market, or it is too costly to buy new units.

The estimated cost for this contract is $184,000.00. The estimated 2018, 2019, 2020, and 2021 expenditures are $19,000.00, $55,000.00, $55,000.00, and $55,000.00, respectively.

The bid deposit for this contract is $9,200.00.

The Multi-Project Labor Agreement will not be included in this contract because the work is performed at the contractor’s facility. Any installation will be performed by District trades.

The Affirmative Action Ordinance, Revised Appendix D will not be included because it is primarily a furnish and deliver contract which does not provide practical or cost-effective opportunities for direct or indirect subcontracting.

The tentative schedule for this contract is as follows:

Advertise                     April 4, 2018

Bid Opening                     April 24, 2018

Award                     May 17, 2018

Completion                     August 30, 2021

Funds for the current year are available in Accounts 101-67000/68000/69000-612650. Funds for the subsequent years, 2019, 2020 and 2021, are contingent on the Board of Commissioners’ approval of the District’s budget for those years.

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 18-690-11.

Requested, John P. Murray, Director of Maintenance and Operations, BAP:SO'C:MAG:JR:JMC:WB:CV:

Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management

Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement
