TRANSMITTAL LETTER FOR BOARD MEETING OF SEPTEMBER 19, 2019

COMMITTEE ON PROCUREMENT

Mr. Brian A. Perkovich, Executive Director

Title

Authority to decrease Contract 18-696-11, Services of Tractor Mounted Paddle Aerators and Rotavators with Operators, Bechstein-Klatt Loading & Shredding, in an amount of $218,625.00 from an amount of $4,945,509.19 to an amount not to exceed $4,726,884.19, Account 101-66000-612520, Purchase Order 5001646

Body

Dear Sir:

On January 18, 2018, the Board of Commissioners authorized the Director of Procurement and Materials Management to award Contract 18-696-11, Services of Tractor Mounted Paddle Aerators and Rotavators with Operators, to Bechstein-Klatt Loading & Shredding, in an amount not to exceed $5,237,250.00. The Contract will expire on February 6, 2021.

As of September 6, 2019, the attached list of change orders has been approved. The effect of these change orders resulted in a decrease in an amount of $291,740.81 from the original amount awarded of $5,237,250.00. The current contract value is $4,945,509.19. The prior approved change orders reflect an approximate 5.6% decrease to the original contract value.

A decrease in contract value is being requested to better reflect the estimated quantity of services that will be required for 2020.

This change order is in compliance with the Illinois Criminal Code since the change is due to circumstances not reasonably foreseeable at the time the contract was signed, and is in the best interest of the District.

It is hereby recommended that the Board of Commissioners authorize the Director of Procurement and Materials Management to execute a change order to decrease Contract 18-696-11, in an amount of $218,625.00 (approximately 4.4% of the current contract value) from an amount of $4,945,509.19 to an amount not to exceed $4,726,884.19.

Funds will be restored to Account 101-66000-612520.

Requested, John P. Murray, Director of Maintenance and Operations, EJS:BK:MAG:JR:SSG

Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management

Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement

Disposition of this agenda item will be documented in the official Regular Board Meeting Minutes of the Board of Commissioners for September 19, 2019
