Dear Sir:
On August 31, 2017, the Board of Commissioners authorized the Director of Procurement and Materials Management to issue a purchase order for Contract 17-633-11, Furnish and Deliver Polymer, to Polydyne Inc., in an amount not to exceed $15,222,008.95. The contract expires on September 26, 2020.
As of January 10, 2020, the attached list of change orders has been approved. The effect of these change orders resulted in a decrease in an amount of $881,391.40 from the original amount awarded of $15,222,008.95. The current contract value is $14,340,617.55. The prior approved change orders reflect an approximate 5.8% decrease to the original contract value.
An increase in the purchase order’s value is being requested to provide additional polymer through the termination date of September 26, 2020.
This change order is in compliance with the Illinois Criminal Code since the change is due to circumstances not reasonably foreseeable at the time the contract was signed, and is in the best interest of the District.
It is hereby recommended that the Board of Commissioners authorize the Director of Procurement and Materials Management to execute a change order to increase the purchase order for Contract 17-633-11, in an amount of $3,800,000.00 (approximately 26.5% of the current contract value) from an amount of $14,340,617.55 to an amount not to exceed $18,140,617.55.
Funds are available in Account 101-69000-623560.
