Body

Dear Sir:

Request for Proposal 13-RFP-14 documents have been prepared for a Document and Case Management System, at the request of the Law Department.

The purpose of this contract is to obtain services to assist the Law Department with its day-to-day operations, to reduce the use of paper files, improve the functionality and use of electronic files within the department, and develop a historical database that is easily searchable.

The estimated cost for this request for proposal (RFP) is $55,000.00 for 2013, $9,000.00 for 2014 and $9,000.00 for 2015.

A bid deposit is not required for this RFP.

Appendix A will not be included in this RFP because the estimate is less than the minimum threshold established by Section 4 of the Affirmative Action Interim Ordinance.

The tentative schedule for this contract is as follows:
Advertise      July 24, 2013
Proposals Received      August 16, 2013
Award      November 7, 2013
Completion      December 31, 2016

Funds in the amount of $55,000.00 are being requested in 2013 in Account 2101-50000-601170.  Funds for 2014 and 2015 are contingent upon the Board of Commissioners' approval of the District's budget for those years.

Requested, Ronald M. Hill, General Counsel, RMH:LAG:EA:TN:EJ:bh
Recommend, Darlene A. LoCascio, Director of Procurement and Materials Management
Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement
