TRANSMITTAL LETTER FOR BOARD MEETING OF JUNE 6, 2013

COMMITTEE ON PROCUREMENT

Mr. David St. Pierre, Executive Director

Title
Authorization to amend an agreement with Microsoft, under the State of Illinois Master Microsoft Enterprise Agreement (CMS6003000) for Microsoft Software and Software Maintenance for a three-year period
Body

Dear Sir:

Authorization is requested to amend an agreement with Microsoft, under the State of Illinois Master Microsoft Enterprise Agreement (CMS6003000).  The District has the ability to participate in State of Illinois (State) Contracts 4010653 under the Government Joint Purchasing Act, 30 ILCS 525/0.01 et.seq.

On November 1, 2012, the Board of Commissioners authorized the District to enter into an agreement with Microsoft, under the State of Illinois Master Microsoft Enterprise Agreement (CMS6003000) for Microsoft Software and Software Maintenance for a three-year period.  By enrolling under the State of Illinois Master Microsoft Agreement, the District benefited from being able to take advantage of a larger volume purchase discount and the ability to spread license payments over the term of the agreement.  The District's current enrollment under the Illinois Master Microsoft Enterprise Agreement expires November 30, 2015.

The amendment to the District's agreement with Microsoft will allow the District to purchase Office 365 User Subscription Licenses (USLs) for Software Assurance under the District's Microsoft Enrollment Agreement.

Purchase of Office 365 licenses is contingent on approval by the Board of the request submitted in a separate Board letter for authority to increase the purchase order to CDW Government, LLC.  The Board approved issuing a purchase order to CDW Government, LLC, to furnish and deliver Microsoft Software and Software Maintenance for a three-year period at the November 1, 2012 Board meeting.

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to amend the District's agreement with Microsoft, under the State of Illinois Master Microsoft Enterprise Agreement (CMS6003000).

Requested, Ellen Barry, Acting Director of Information Technology, EB:BVS:bvs
Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management
Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement
