COMMITTEE ON PROCUREMENT

Mr. Richard Lanyon, Executive Director

Title

Authority to decrease Contract 07-663-11, Landscape Maintenance at Various Locations in the North Side Water Reclamation Plant Area, Group A, to A Natural Choice Shamrock Landscaping & Installation, in an amount of $10,109.18, from an amount of $109,518.67, to an amount not to exceed $99,409.49, Account 101-67000-612420, Purchase Order 5000716

Body

Dear Sir:

On May 3, 2007, the Board of Commissioners authorized the Director of Procurement and Materials Management to award Contract 07-663-11, Landscape Maintenance at Various Locations in the North Side Water Reclamation Plant Area, Group A, to A Natural Choice Shamrock Landscaping & Installation, in an amount not to exceed $148,000.00. The contract expires on March 31, 2010.

As of January 8, 2010, the attached list of change orders has been approved. The effect of these change orders resulted in a decrease in the amount of $38,481.33 from the original amount awarded of $148,000.00. The current contract value is $109,518.67. The prior approved change orders reflect a 26.0% decrease to the original contract value.

The decrease in the contract value is being requested due to less than anticipated use in 2009.

This change order is in compliance with the Illinois Criminal Code since the change is due to circumstances not reasonably foreseeable at the time the contract was signed, and is in the best interest of the District.

It is hereby recommended that the Board of Commissioners authorize the Director of Procurement and Materials Management to execute a change order to decrease Contract 07-663-11, in an amount of $10,109.18 (9.2% of the current contract value), from an amount of $109,518.67, to an amount not to exceed $99,409.49.

Funds will be restored in Account 101-67000-612420.

Requested, Osoth Jamjun, Director of Maintenance and Operations, OJ:MPS:SO’C:MAG:LSC:TW

Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management

Respectfully Submitted, Barbara J. McGowan, Chairman Committee on Procurement
