Dear Sir:

 

Contract documents and specifications have been prepared for Contract 10-654-11 Maintenance and Repair of Limitorque Valve Actuators at Various Service Areas, at the request of the Maintenance and Operations Department.

 

The purpose of this contract is to procure maintenance services and repair parts to regulate, adjust, repair and maintain Limitorque valve actuators at various service areas, on an “as needed” basis over a three year period. Inspection, maintenance and repair services to the valve actuators include, but are not limited to, parts and services for the Tunnel and Reservoir Project (TARP) at various service areas, Mainstream Pumping Station, and sluice gate actuators.

 

The estimated cost for this contract is $442,100.00. The estimated 2010, 2011 and 2012 expenditures are $138,700.00, $ 151,700.00 and $ 151,700.00, respectively.

 

The bid deposit for this contract is $22,100.00.

 

The contract specifications require the contractor to furnish the specified repair services on an “as-needed” basis commencing upon approval of the contractor’s bond, and as directed by the Engineer, and terminating December 31, 2012, or upon the expenditure of available funds, whichever occurs sooner. Liquidated damages are $50.00 for each calendar day that the contractor is in default of the time.

 

The Multi-Project Labor Agreement (MPLA) is not included in this contract because the classification of work does not fall within the provisions of the MPLA.

 

Revised Appendix D will not be included in this contract because the District is seeking a vendor to provide unspecified services to repair and maintain valve actuators on an as needed basis over a three-year period.

 

The tentative schedule for this contract is as follows:

Advertise                     April 14, 2010

Bid Opening                     May 4, 2010

Award                     June 17, 2010

Completion                      December 31, 2012

 

Funds are being requested in 2010, in Accounts 101-67000, 68000, 69000-612600, 612650, 623070 and 623270. Funds for subsequent years 2011 and 2012 are contingent on the Board of Commissioner’s approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 10-654-11.
