Authority to advertise Contract 10-923-11 Maintenance Services for Large Motors at Various Locations in the Stickney Service Area, estimated cost $120,000.00, Account 101-69000-612600, Requisition 1285022

Dear Sir:

 

Contract documents and specifications have been prepared for the procurement of services to maintain main sewage pump and aeration blower motors located at the Stickney Water Reclamation Plant, and at the West Side, Mainstream, Racine and Upper Des Plaines Pumping Stations. The services will include, on an as-needed basis, inspection, repairs, testing, and tuning/calibrating of the pumps and motors in accordance with the original manufacturers’ guidelines. Upon completion of the repairs, the pumps and motors will be re-tested to ensure optimum performance before being placed back in service. The repairs will enable each pump and motor to continue operating in a safe, reliable and efficient manner, thus reducing downtime for critical operations at the various District facilities.

 

The estimated cost for this contract is $120,000.00. The estimated 2010, 2011 and 2012 expenditures are $40,000.00, $40,000.00 and $40,000.00, respectively.

 

The bid deposit for this contract is $6,000.00.

 

The specifications require the services under this contract to commence upon approval of the contractor’s bond, and terminate on December 31, 2012. Liquidated damages are fifty dollars ($50.00) for each calendar day the contractor fails to meet various performance objectives, as specified in the contract documents.

 

The Multi-Project Labor Agreement (MPLA) will be included in this contract.

 

Revised Appendix D will not be included in this contract due to the specialized nature of the specified services which require the use of technicians with specialized training on the original manufacturers’ equipment. Any required trade work will be performed by in-house labor forces.

 

The tentative schedule for this contract is as follows:

Advertise                     May 12, 2010

Bid Opening                     June 1, 2010

Award                     July 8, 2010

Completion                     December 31, 2012

 

Funds for the current year are available in Account 101-69000-612600. Funds for subsequent years, 2011 and 2012 are contingent on the Board of Commissioners’ approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 10-923-11.
