Dear Sir:

 

On June 3, 2010, the Board of Commissioners authorized the Director of Procurement and Materials Management to advertise for bids, Contract 10-025-11 furnish and deliver plumbing pipe, fittings and valves to various locations for a one year period, beginning approximately September 1, 2010 and ending August 31, 2011.

 

In response to a public advertisement of June 23, 2010, a bid opening was held on July 13, 2010.  The bid tabulation for this contract is:

Four hundred seventy four (474) companies were notified of the contract being advertised and fourteen (14) companies requested specifications.

 

Johnson Pipe & Supply Company, Inc., the lowest responsible bidder for Group A and Group C, is proposing to perform the contract in accordance with the specifications.  The estimated cost of Group A and Group C was $193,500.00, placing their Group A and Group C bid of $218,977.66 approximately 13.2 percent above the estimate.

 

Griffith Windustrial Company, the lowest responsible bidder for Group B, is proposing to perform Group B, in accordance with the specifications.  The estimated cost of Group B was $137,000.00, placing the Group B bid of $140,394.16 approximately 2.5 percent above the estimate.

 

The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because it is primarily a furnish and deliver contract.

 

Revised Appendix D was not included in this contract because it is primarily a furnish and deliver contract.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to award Contract 10-025-11, Groups A and C, to Johnson Pipe & Supply Company, Inc., in a total amount not to exceed $218,977.66, and Group B , to Griffith Windustrial Company, in an amount not to exceed $140,394.16.

 

Purchase orders will be issued for the material, as required.  Payment will be based on the unit cost, as indicated in the contract documents.  The bid deposits, in the amounts of $3,600.00 for Group A, $6,900.00 for Group B and $6,100.00 for Group C, will be retained in lieu of a performance bond, which is satisfactory to the Law Department and approved by the Director of Procurement and Materials Management.  Funds are available in Account 101-20000-623090.
