Dear Sir:

 

Contract documents and specifications have been prepared to provide co-location services for District infrastructure.  This contract begins on December 27, 2022 and ends December 26, 2025.

 

The purpose of this contract is to:  1) provide co-location services for various components of the District’s computing environment for 36 months with two 12-month extensions; and 2) the relocation of the equipment from the current co-location facility (storage racks, servers, and network hardware) to the new co-location facility.  This will enable the Information Technology Department to reliably maintain and manage the District’s core infrastructure environment.

 

The estimated cost for this contract is $300,000.00.  The estimated 2023, 2024, and 2025 expenditures are $100,000.00, $100,000.00, and $100,000.00 respectively.

 

A bid deposit is not required for this contract.

 

The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because the classification of work does not fall within the provision of the MPLA.

 

Due to the scope of work to be performed, the Affirmative Action Appendix A and Appendix V will not be included.

 

The tentative schedule for this contract is as follows:

Advertise                                          October 5, 2022

Bid Opening                        November 8, 2022

Award                                                               December 15, 2023

Completion                                          December 26, 2025

 

Funds are being requested in 2023, 2024, and 2025, in Account 101-27000-612330, and are contingent on the Board of Commissioners’ approval of the District’s budget for that year.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 22-483-11.
