Dear Sir:

 

Contract documents and specifications have been prepared for Contract 24-618-11, Furnish and Deliver HVAC and Refrigeration Parts and Services to Various Locations, at the request of the Maintenance and Operations Department.

 

This contract is to procure HVAC and refrigeration parts and services for the District’s various HVAC systems for a three-year period. There will be three groups:  Group A for the North Services Area, Group B for the Stickney Service Area, and Group C for the Calumet Service Area.  Separate contracts could be awarded for each group.

 

The estimated cost for this contract is not to exceed $984,155.00. The estimated 2024, 2025, 2026, and 2027 expenditures are $214,145.00, $256,670.00, $256,670.00, and $256,670.00, respectively. 

 

The Multi-Project Labor Agreement (MPLA) will be included in this contract.

 

The Affirmative Action Ordinance, Revised Appendix D, will be included in this contract. The type of work to be performed under the contract is classified as “Mechanical” for establishing utilization goals. The individual goals for this contract are 20% Minority-owned Business Enterprises (MBE) and/or Women-owned Business Enterprises (WBE).

 

The tentative schedule for this contract is as follows:

Advertise:                     November 22, 2023

Bid Opening:                     January 9, 2024

Award:                                          February 1, 2024

Completion:                      March 1, 2027

                    

Funds are being requested in 2024 in Accounts 101-67000/68000/69000-612680/623270. Funds for the subsequent years, 2025, 2026, and 2027, are contingent upon the Board of Commissioners’ approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 24-618-11.
