COMMITTEE ON PROCUREMENT

Title

Authority to advertise Contract 27-608-11, Furnishing and Delivering Mechanical Parts to Various Locations, estimated cost $470,700.00, Accounts 101-67000/68000/69000-623270, Requisitions 1663931, 1663963, and 1664005

Body

Dear Sir:

Contract documents and specifications have been prepared for Contract 27-608-11, Furnishing and Delivering Mechanical Parts to Various Locations, at the request of the Maintenance and Operations Department.

The purpose of this contract is to procure mechanical parts such as bearings, seals, o-rings, and v-belts, over a three-year period. The parts are frequently used to repair pumps, compressors, and mechanical drives.

The estimated cost for this contract is not to exceed $470,700.00. The estimated 2027, 2028, and 2029 expenditures are $156,900.00 per year.

The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because it is a furnish and deliver contract.

The Affirmative Action Ordinance, Revised Appendix D and Appendix V, will not be included in this contract because there are insufficient numbers of certified MBEs, WBEs, and VBEs available to provide the items specified in the contract.

The tentative schedule for this contract is as follows:

Advertise                     November 18, 2026

Bid Opening                     December 8, 2026

Award                     January 7, 2027

Completion                     December 31, 2029

Funds for 2027, 2028, and 2029 are being requested in Accounts 101-67000/68000/69000-623270 and are contingent upon the Board of Commissioners’ approval of the District’s budget for those years.

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 27-608-11.

Requested, Edward J. Staudacher, Director of Maintenance and Operations, JBS:BML:JR:MM

Recommended, Darlene A. LoCascio, Director of Procurement and Materials Management

Respectfully Submitted, Precious Brady-Davis, Chairperson Committee on Procurement
