Authority to advertise Contract 24-608-11, Furnishing and Delivering Mechanical Parts to Various Locations, estimated cost $338,400.00, Accounts 101-67000/68000/69000-623270, Requisitions 1601754, 1601529, and 1601530

Dear Sir:

 

Contract documents and specifications have been prepared for Contract 24-608-11, Furnishing and Delivering Mechanical Parts to Various Locations, at the request of the Maintenance and Operations Department.

 

The purpose of this contract to procure mechanical parts such as bearings, seals, o-rings, and v-belts, over a three-year period. The parts are frequently used to repair pumps, compressors, and mechanical drives.

 

The estimated cost for this contract is not to exceed $338,400.00. The estimated 2024, 2025, and 2026 expenditures are $112,800.00, $112,800.00, and $112,800.00 respectively.

 

The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because it is a furnish and deliver contract.

 

The Affirmative Action Ordinance, Revised Appendix D and Appendix V, will not be included because it is a furnish and deliver contract and there is a lack of MBE/WBE/VBE’s available to provide the items specified in the contract.

 

The tentative schedule for this contract is as follows:

Advertise                                          October 11, 2023

Bid Opening                     October 31, 2023

Award                     December 7, 2023

Completion                      December 31, 2026

 

Funds are being requested in 2024 in Accounts 101-67000/68000/69000-623270. Funds for the subsequent years, 2025 and 2026, are contingent on the Board of Commissioner’s approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 24-608-11.
