Dear Sir:
On March 6, 2008, the Board of Commissioners authorized the Purchasing Agent to advertise for bids for Contract 08-789-11 Furnish and Deliver Three Electric Motors to the North Side Water Reclamation Plant.
In response to a public advertisement of March 26, 2008, a bid opening was held on April 22, 2008. The bid tabulation for this contract is:

Five hundred fifty-five (555) companies were notified of this contract being advertised and forty-four (44) companies requested specifications.
A review of the bid documents revealed conflicting language in the Proposal pages. On page P-1, 2, and 3, it states that the bidder can submit catalogs, literature, and drawings upon request of the Engineer prior to award. On page P-3, it states that the bidder must provide the motor manufacturer’s specification sheets and a detailed drawing of the adapter plate with its dimensions, with the bid. Some of the bidders submitted all of the information with their bid, some of the bidders submitted only partial information, and some of the bidders provided no information with their bid.
In view of the foregoing, the bids for the above stated contract have been rejected by the Purchasing Agent in the public’s best interest. No bid deposit was required for this contract.
The contract will be reviewed prior to re-advertisement.
