Dear Sir:
A request for proposal documents has been prepared for Third-Party Claims Administrator Services at the request of the Human Resources Department. The contract specifications require that all work commences on April 15, 2024, and expires on April 14, 2027, with the option for an additional one-year renewal extension, pending board approval.
The purpose of this contract is to obtain services to administer claims for the District in two categories: Category 1) Workers’ Compensation claims and related services; and Category 2) Non-litigated Liability claims and related services.
Vendors who wish to submit a proposal for the services requested in this RFP must submit a proposal for both Category 1) Workers’ Compensation claims and related services, as well as Category 2) Non-litigated Liability claims and related services. Category 2 services will be on an as-needed basis.
The estimated cost for this RFP is $820,000.00. The estimated 2024, 2025, 2026, and 2027 expenditures are $206,167.00, $273,333.00, $273,333.00, and $67,167.00, respectively.
A bid deposit is not required for this RFP.
Appendix A will be included in this RFP. The type of work to be performed under this contract is within the professional services category for establishing Minority-owned Business Enterprises (MBE) and Women-owned Business Enterprises (WBE) goals. The MBE and/or WBE goals for this contract are 15 percent.

Funds for 2024, 2025, 2026, and 2027 will be requested in Account 101-25000-612430, and Account 901-30000-601090 and are contingent on the Board of Commissioners’ approval of the District’s budget for those years.
In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 23-RFP-13.
