Dear Sir:

 

Contract documents and specifications have been prepared for semi-annual inspection, repairing, recharging, and hydrostatic pressure testing of various fire suppression systems District-wide for a period of three years.

 

The proper maintenance of fire suppression systems is a fire code requirement.  These systems protect valuable District property from loss due to fire.  The current contract for these services expires on December 31, 2009.

 

The estimated cost for this contract is $350,000.00. The estimated 2010, 2011, and 2012 expenditures are $113,900.00, $113,900.00 and $119,400.00 respectively.

 

A bid deposit of $12,000.00 is required for this contract.

 

The Multi-Project Labor Agreement is not applicable to this contract due to the specialized nature of the work.

 

Revised Appendix D is not included in this contract due to the specialized nature of the work.

 

The tentative schedule for this contract is as follows:

Advertise                     July 15, 2009

Bid Opening                     August 4, 2009

Award                     September 3, 2009

Completion                     December 31, 2012

 

Funds for the contract years 2010, 2011, and 2012 are contingent on the Board of Commissioners’ approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 10-427-11.
