Dear Sir:
On October 5, 2023, the Board of Commissioners authorized the Director of Procurement and Materials Management to advertise for bids, Contract 24-063-11 furnish and deliver v-belts, conveyor belts, and bearings to various locations for a one-year period, beginning approximately February 1, 2024 and ending January 31, 2025.
In response to a public advertisement of October 18, 2023, a bid opening was held on November 7, 2023. The bid tabulation for this contract is:

ACCENT BEARINGS CO., INC. $10,508.68
GROUP B: CONVEYOR BELTS
ACCENT BEARINGS CO., INC. $27,559.00
BELCON REGIS GROUP INC. $36,702.00
GROUP C: BEARINGS
ACCENT BEARINGS CO., INC. $21,684.66
ROOT BROTHERS MFG. & SUPPLY CO. $41,641.77
Root Brothers Mfg. & Supply Co., the lowest responsible bidder for Group A, is proposing to perform this contract in accordance with the specifications. The estimated cost for Group A was $10,000.00, placing the total bid of $8,318.87 approximately 16.8 percent below the estimate.
Accent Bearings Co., Inc., the lowest responsible bidder for Groups B and C, is proposing to perform this contract in accordance with the specifications. The estimated cost for these two groups was $72,000.00, placing the total bid of $49,243.66 approximately 31.6 percent below the estimate.
The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because it does not fall under the provisions of the MPLA.
The Affirmative Action Ordinance, Revised Appendix D and Appendix V, was not be included in this contract because the estimate, per each individually awarded group of the contract, is less than the minimum threshold established by Section 4 of the Affirmative Action Ordinance.
In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to award Contract 24-063-11, Group A, to Root Brothers Mfg. & Supply Co., in an amount not to exceed $8,318.87; and Groups B and C to Accent Bearings Co., Inc., in an amount not to exceed $49,243.66.
No bid deposit was required for this contract.
Purchase orders will be issued for the material as required. Payment will be based on the unit cost as indicated in the contract documents.
There was no bid deposit required for this contract.
Funds are being requested in 2024, in Account 101-20000-623270, and are contingent on the Board of Commissioners’ approval of the District’s budget for that year.
