Dear Sir:
Contract documents and specifications have been prepared for Contract 25-100-11 for preventative maintenance for steam sterilizers, labor, and parts, for the Monitoring and Research Department. The contract is for three years, beginning on approximately January 1, 2025, and ending December 31, 2027.
The purpose of this contract is to provide preventative maintenance, inspection, and repair services including labor and parts to two (2) steam sterilizers. These steam sterilizers (autoclaves) are important safety equipment in the microbiology laboratories for sterilizing reagents and growth media used for the National Pollutant Discharge Elimination System Permits and Part 503 Biosolids Regulations. They are also used for microbiological testing, and decontaminating all biohazardous substances and infectious wastes before disposal. Annual inspection and preventative maintenance are essential to the operation of the equipment and must be done by certified technicians for safety and equipment longevity.
The estimated cost for this contract is $54,000.00.The estimated expenditures for 2025, 2026, and 2027 is $18,000.00, per year.
A bid deposit is not required for this contract.
The Multi-Project Labor Agreement (MPLA) is not applicable to this contract because the classification of work does not fall within the provisions of the MPLA.
The Affirmative Action Ordinance (Ordinance), Revised Appendix D is not included in this contract because the estimate is less than the threshold established by Section 4 of the Ordinance.

Award September 19, 2024
Completion December 31, 2027
Funds are being requested for 2025, 2026, and 2027 in Account 101-16000-612970, and are contingent on the Board of Commissioners’ approval of the District’s budget for those years.
In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 25-100-11.
