Dear Sir:

 

Contract documents and specifications have been prepared for Contract 26-659-11 Agricultural Management, Agricultural Fieldside Mowing, and Fence Installation and Removal at Fulton County, Illinois, at the request of the Maintenance and Operations Department.

 

The purpose of this contract is to provide materials, equipment, and services to maintain the Prairie Plan Site in Fulton County, Illinois over a three (3) year period. There will be three groups: Group A for agricultural management, Group B for agricultural fieldside mowing, and Group C for fence installation and removal. Separate contracts could be awarded for each group.

 

The estimated cost for this contract is not to exceed $1,260,000.00. The estimated 2026, 2027, and 2028 expenditures are $420,000.00 per year.

 

The Multi-Project Labor Agreement will not be included in this contract.

 

The Affirmative Action Ordinance, Revised Appendix D and Appendix V will not be included in this contract because there are no MBE, WBE, or VBE firms available to perform the scope of work in Fulton County, Illinois.

 

The tentative schedule for this contract is as follows:

Advertise                     August 27, 2025

Bid Opening                     September 16, 2025

Award                     November 6, 2025

Completion                     December 31, 2028

 

Funds for 2026 are being requested in Account 101-69000-612420. Funds for the subsequent years are contingent upon the Board of Commissioners’ approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 26-659-11.
