Dear Sir:

 

Contract documents and specifications have been prepared for Contract 25-304-11, the Annual Maintenance, Repairing, Recharging, and Hydrostatic Pressure Testing of Portable Fire Extinguishers for a three (3) year period at various locations. This contract is anticipated to begin on January 1, 2026, and end on December 31, 2028.

 

The purpose of this contract is to ensure District owned fire extinguishers are maintained per the requirements of the National Fire Protection Association and the Occupational Safety and Health Administration. Portable fire extinguishers require annual re-certification, periodic testing, emergency recharge, and repair.

 

The estimated cost for this contract is not to exceed $210,000.00 with an annual breakdown as follows:

                                          2026: $70,000.00

                                          2027: $70,000.00

                                          2028: $70,000.00

 

The Multi-Project Labor Agreement (MPLA) will not be included in this contract due to the specialized nature of the services involved.

 

The Affirmative Action Ordinance, Revised Appendix D and Appendix V will not be included in this contract because of the limited availability of MBE / WBE / VBE participants and the specialization of the project.

 

A bid deposit is not required for this contract.

 

The tentative schedule for this contract is as follows:

Advertise                                          August 27,2025

Bid Opening                                          October 14, 2025

Award                                                               November 6, 2025

Completion                                           December 31, 2028

 

Funds for the following years, 2026, 2027, and 2028, are contingent on the Board of Commissioners’ approval of the District’s budget for those years.

 

In view of the foregoing, it is recommended that the Director of Procurement and Materials Management be authorized to advertise Contract 25-304-11.
